Job Description
POSITION SUMMARY

Commercial Loan Administration is responsible for accurately and efficiently completing post-closing functions to ensure necessary filings and reconcilements. Responsible for rate changes, escrow analysis, tickler management, and other administrative functions related to loan operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

Loan Administration
  • Process closed/paid notes on a weekly basis.
  • Communicate with loan officers and Commercial Loan Specialists on outstanding customer items.
  • File and pay invoices and fees related to commercial/ag/consumer loans.
  • Assist with loan funding/advances and answer any related questions.
  • Maintain construction loan files with correct documentation and process construction draws as assigned.
  • Monitor loan balance and exception reports as assigned.
  • Follow-up on pending/expired documentation.
  • Prepare reports for loan officer and Commercial Loan Specialists as needed.
  • Balance and reconcile General Ledger accounts and/or other accounts as assigned.
  • Manage loan participation program daily; request or remit advances as assigned.
  • Responsible for completing collateral releases.
  • Assist with maintaining original signed note, collateral documents, and other necessary paper documents.
  • Perform and review loan maintenance requests.
  • Assist with the review of HMDA data.
  • Maintain interest rate changes in the bank's core system.
  • Maintain escrow accounts and perform escrow analysis.
  • Review loans for FRB and FHLB eligibility.
  • Assist Client Financial Services with year-end tax reporting.
  • Prepare and process payoff requests received both internally and externally.
  • Submit all required reports for SBA and other guaranteed loans.
  • Prepare and manage ticklers within the bank's core system as well as the bank's internal computer filing system.

Post-Close Servicing
  • Complete post-close functions including but not limited too; UCC filings, title documentation, and manage critical documents.
  • Manage critical documents and verify they are properly filed and cataloged.
  • Follows-up and maintain accurate documentation for all loan files, including proper insurance coverage, titles, UCC filings/continuations, title opinions, flood reports, and any other required documents.
  • Responsible for items such as final title searches, abstracting and paper document storage.
  • Review new loans added to the bank's core system for accuracy.

Other
  • Completes a variety of commercial projects assigned by loan officers and supervisor.
  • Perform all other duties as assigned.

SKILLS AND ABILITIES
  • Ability to learn and use the Bank's PC hardware and software; in addition to being proficient in Microsoft Office products, including, but not limited to: Word, Excel, and Outlook.

  • Ability to perform basic math; compute rate, ratio, and percent; draw and interpret bar graphs.
  • Ability to read, write and comprehend simple instructions, correspondence, and memos.

  • Interpret documents such as procedure manuals, work instructions, software manuals, entity documents, security agreements, real estate mortgages, and other commercial loan documents.
  • Demonstrate strong oral/communication, organization, attention to detail and problem-solving skills.
  • Ability to work in a team environment and take direction from management and supervisors.
  • Ability to effectively manage one's time to complete work according to established deadlines. The ability to prioritize tasks and use time efficiently.
  • Ability to adjust quickly to different work situations; remain composed under pressure and in stressful situations.
  • Regard for important details to assure accuracy in every transaction performed, detect errors, and follow through on corrections and detail.
  • Responsible for knowing and following Bank Security Act (BSA) and Customer Identification Program (CIP) regulations, policies, and procedures.
  • Must have flexibility to deal with changing work hours.
EDUCATION & EXPERIENCE
  • High School Diploma or equivalency preferred
  • Minimum of two (2) years of experience in similar job duties
PHYSICAL REQUIREMETS

Must be able to sit, stand, climb, stoop, kneel, crouch, reach, walk, push/pull, lift, and effectively communicate with or without reasonable accommodation. Must be able to occasionally lift and/or move up to 25 pounds.
